Menu Items
What is a Product Variation?
Every item in Scan2Order can present at least one Variation of itself in your menu. This is optional and not mandatory. A few examples will help us clarify exactly what a Product Variation is:
· Let’s say that you hypothetically want to include a certain pizza in your menu (e.g. "BBQ pizza"), which is offered by your business in 2 different sizes (6 and 8 slices) that have 2 different prices (8€ and 10€ respectively). Without the Product Variation option, this means that practically you have to include this pizza as two different products in your menu ("BBQ pizza - 6 slices - €8" and "BBQ pizza - 8 slices - €10"). On the other hand, if you use the Product Variation option, “BBQ pizza" will be presented as a single product with its two variations ("6 slices - €8" and "8 slices - €10") contained in the product description.
· Let's take a look at another example. In that same menu you want to include a soft drink (e.g. "Coca Cola") in 3 different sizes (330ml, 500ml and 1L) which of course have 3 different prices (€0.60, €0.90 and €1.2 respectively). Without the Product Variation option, this that practically you have to include Coca Cola as three different products in your menu ("Coca Cola - 330ml - €0.60", "Coca Cola - 500ml - €0.90" and "Coca Cola - 1L - €1.2"). On the other hand, if you use the Product Variation option, "Coca Cola" will be presented as a single product with its three variations ("330ml - €0.60", "500ml - €0.90" and " 1L - 1.2€") in the product description.
In summary, the following should be kept in mind about Product Variations:
· Product Variations allow us to present a product with its variations (different Attributes, different prices) as a single item, instead of multiple items corresponding to each variation.
· Product Variations are optional and are only used in products where this is deemed necessary for aesthetic reasons and the optimal functionality of your menu.
How do I create a Menu Item without Product Variations?
2) Click the "CREATE ITEM" button located at the top of the screen.
3) On the new item creation page:
· Do not check the 'Product Variations' option.
· In the "Item Name" field, fill in the name of the new product you want to create.
· In the "Translations" field, fill in the translation in the language(s) you have selected.
· In the "Price" field, fill in the price of the product.
· In the "Item Category" choose the category to which the product belongs to (e.g. if the product was "Cappuccino" it would belong in the category "Coffees" or something similar).
· In the "Hidden Item" field choose whether you want this product to be hidden or not.
· Next are the two "Item Description" fields where you fill in the description of the product you want to create as well as the translation of this description in the language(s) you have chosen.
· In "Product Attributes & Terms" you need to select the Attributes and Terms that correspond to the product you want to create, provided there are any. If your product has attributes then click the "Add attribute" button and select the attributes and terms that correspond to the product. If the product has no attributes then you don't need to do anything and you can skip this step.
· In "Item Extras" you optionally select some additional information about your product.
· In the "Product Photos" section you can upload photos of the product you wish to create. To upload photos the product must first be fully created. Then you can edit the item, navigate to the "Product Photos" section and upload photos either by dragging and dropping the file(s) onto the designated area, or by clicking on the aforementioned designated area and selecting the photo(s) you want to upload.
4) Click the “Save” button at the bottom right of your screen.
Your new item is ready! You can see it in the list of all your menu items by clicking the "Menu Items" button on your toolbox.
How do I create a Menu Item with Product Variations?

3) On the new item creation page:
· In the "Item Name" field, fill in the name of the new product you want to create.
· In the "Translations" field, fill in the translation in the language(s) you have selected.
· In the "Item Category" choose the category to which the product belongs to (e.g. if the product was "Cappuccino" it would belong in the category "Coffees" or something similar).
· In the "Hidden Item" field choose whether you want this product to be hidden or not.
· Next are the two "Item Description" fields where you fill in the description of the product you want to create as well as the translation of this description in the language(s) you have chosen.
· In "Product Attributes & Terms" you do not need to select anything for now as your choices will be made later on for each product variation separately.
· In "Item Extras" you optionally select some additional information about your product.
· In the "Product Photos" section you can upload photos of the product you wish to create. To upload photos the product must first be fully created. Then you can edit the item, navigate to the "Product Photos" section and upload photos either by dragging and dropping the file(s) onto the designated area, or by clicking on the aforementioned designated area and selecting the photo(s) you want to upload.
After completing the above and saving your item then:
- Edit the item you have created.
- In the "Product Variations" section, check the “Variable Item" box. This will make an “Add Variable Product” button appear. Click on that button and you will be taken to a new windows where you need to:
- Enter the price of the product variation.
- Click the “Add Attribute” button and select the Attributes and Terms that correspond to the specific product variation.
- Click the “Save Variable Menu Item” button.
- Click the "Close window" button.
- Repeat the above process to create as many variations as you want.
4) Click the “Save'” button at the bottom right of your screen.
Your new product and its variations are ready! You can view it in the list of all your menu items by clicking the "Menu Items" button on your toolbox. Please note that in the menu items list, products with variations are marked with a special icon in the "Variable" column.
How can I make changes or corrections to an already created Menu Item?
You can edit your menu items in two ways:
1) Individually, when you want to make detailed changes, following these steps:
- In the list of existing items you will see that each item has an edit icon in the "Functions" column.
- Click the edit icon of the item you want to edit.
- Complete the changes you want to make and click the “Save” button at the bottom right of your screen.
That's it! Your changes have been saved and your item is ready.
2) In bulk, only if you want to change the menu category of specific items, following these steps:
- You will notice that each item is in a designated row. By clicking anywhere on the row of an item you can select it. The row of each selected item turns blue and a small window appears on the bottom right of your screen.
- Select as many items as you want using the method described above.
- Select a category/subcategory and click the "Change" button to move the selected items to a specific category/subcategory.
That's it! Your changes have been saved.
How can I delete an already created Product?
You can delete your menu items in two ways:
1) Individually, following these steps:
- In the list of existing items you will see that each item has a delete icon in the "Functions" column.
- Click the delete icon of the item you want to delete.

That's it! Your changes have been saved and the item been deleted.
2) In bulk, following these steps:
- You will notice that each item is in a designated row. By clicking anywhere on the row of an item you can select it. The row of each selected item turns blue and a small window appears on the bottom right of your screen.
- Select as many items as you want using the method described above.
- Click the "Delete" button to delete the selected products.
That's it! Your changes have been saved and the items you selected have been deleted.
How can I change the order of the Menu Items?
2) In your list of categories you will notice that each category or sub-category containing products also has a “Reorder Menu Items” button located in the “Reordering” column. Click on the button of the category whose items you want to reorder.
3) You will be redirected to new page where you can change the order of the items by dragging and dropping with your mouse. Drag the item you want and drop it its new place to achieve the order you want. After each successful move you make an automatic success message will appear at the bottom right of your screen.
4) Repeat the same for all items until you have the order you want.
That's it! You can leave this page without any problem. If you want to see your items in their new order, click on the "Menu Items" button on your toolbox.
